This
is an example of how you should structure your data
so that it remains organized.

One
of the main reasons for organizing your data is that
when your data is organized, the chances of accidental
deletion or losing the data is greatly reduced. This
section will help you organize your data so that you
will minimize your chances of data loss. Use the
example below to organize your data.

The
following is a visual aid to making a usable structure
for your data.

The
Windows "My Documents" folder is standard
and should be used as in Windows you can make your documents
"private" and Windows provides that security.
My Documents also comes with standard folders
within My Documents, such as my video and my pictures.

You
should add folders that are labeled "Business"
and "Personal". This can be done by
opening Windows Explorer and selecting File, New and
Folder. (See example below.) Type the name
in the folder you wish to use and press enter. Next
select the Business folder and once in the folder you
can create as many folders as you like. This is
where you can organize your data by creating folder
for each subject or customer. Examples of this
would be you would create a Documents folder or Spreadsheet
folders or a folder for each customer with sub-folders
for Documents etc. After you have created the
folders, move your documents to the appropriate folder
and keep using the structure to keep your data organized.

Keeping
your data organized has additional benefits!
By
keeping your data organized, besides preventing loss
of data or accidental deletions, you can further protect
your data with Windows XP encryption program. Select
the folder you wish to encrypt and right click, then
select Properties. When the Properties menu comes
up select the Advanced button and then check the Encrypt
contents to secure data check box. It will ask
if you wish to apply to all sub-folders, select all
sub-folders. This will secure your data where
only you at your machine can see the data. You
will want to check that your programs will work using
this encrypted data. If it does not, just select
that folder only and undo the encryption.
