This is an example of how you should Backup your Outlook Data.

 

One of the main reasons for organizing your data is that when your data is organized, the chances of accidental deletion or losing the data is greatly reduced.  Outlook (And Outlook Express) is widely used by most computer users.  The problem is that Outlook gives you no automated way of backing up ALL of the data.  The following is a step-by-step guide of how to manually backup your Outlook data.  This will also give you a "size" that can be added to your Critical Backup requirements.  This is important if you use Outlook for your business and email.  Having a copy Offsite will insure that in the case of complete failure, you will have your business contacts and mail.

The following is a visual aid for backing up Outlook Data.

 

In the Outlook main menu, pull down the File menu and select Import and Export.

 You will see the following screen.  Select Export to a File and then press the next button.

On the next screen select Personal Folder File (.pst) and press the next button.

On the next screen select Personal Folder and check the Include subfolders box and press the next button.

On the next screen browse the path that you want to save this data.  Make sure you have enough room if using a local drive.  When you have entered the information, press the finish button.

Once you have save the backup of your Outlook Data, look up the file in your Windows Explorer and write down the size of the file.  This will be added to your critical data size for offsite storage if you so desire.

Outlook Express

The procedure is similar in Outlook Express.  Use the export Address Book and Messages one at a time to export all of your data from Outlook Express.

On the Address Book you will see the following screen.  Select the Microsoft Personal Address Book.  Press Export.

For the Mail Messages you will see the following screen.

Press Ok and you will see the following screen.

Press OK and the program will export the files.  You will then need to copy them to your Onsite drive, encrypt them and send to Offsite Data Backup Services.
